How to get an AI assistant that answers from your own documents

Set up an AI assistant that answers from your own company documents with source citations, kept inside your own tenancy. Here is how to do it in ORCA Opti.

In one sentence: ORCA Opti gives you an AI assistant, Ask Opti, that answers from your own documents with source citations, and the interactions are not logged outside your own Microsoft 365 or Google Workspace tenancy.

Most AI chat tools answer from the public internet and cannot see your policies, procedures or contracts. Ask Opti, the assistant in ORCA Opti, answers from your material instead, and shows you exactly which document each answer came from so you can check it.

Why answers from your own documents matter

A generic assistant guesses. An assistant grounded in your own documents can tell a staff member what your leave policy says, what your incident process is, or what a specific contract commits you to, and cite the source. For a regulated team, the citation is the point: you can prove where the answer came from.

How to set it up

  1. Connect a knowledge source. Point ORCA Opti at the folders, documents or written content that hold your answers. Sources are connected by reference, so nothing is uploaded or copied out of your tenancy.
  2. Let it index. ORCA reads and indexes the source so it can retrieve from it. It does not move or duplicate your files.
  3. Ask. Open Ask Opti and ask in plain language. Answers draw on your connected knowledge and cite the document behind each one.
  4. Check the citation. Every answer links back to its source, so you can confirm it before you rely on it.
  5. Make it repeatable. Attach that knowledge to a Workspace so a whole team gets the same grounded answers, or to a Pearl for a single subject.

Where your data sits

Ask Opti runs inside your own Microsoft 365 or Google Workspace tenancy, your data can be kept onshore, and it is not used to train third-party models. The AI Guardian layer inspects prompts and responses on top of that.
