How to stop your team asking you the same questions

Turn the questions you answer over and over into a Workspace in ORCA Opti that answers them consistently, for everyone, at any hour. Here is how.

In one sentence: If you find yourself explaining the same policy, process or answer again and again, build a Workspace in ORCA Opti that knows it once and answers it for the whole team, at any hour, with citations.

Every question you answer twice is a question a Workspace can answer for you. A Workspace is a shared space where an AI teammate does a role, set up once with the right instructions and knowledge, so the answer is the same whether it is asked at 9am on Monday or 2am on Sunday.

How to do it

  1. List the top 10 questions people ask you. The repeated ones: the same policy question, the same "how do I", the same "who do I ask".
  2. Gather the sources. Point ORCA Opti at the folders and documents that hold the real answers, connected by reference, nothing copied. This becomes a Knowledge Pack.
  3. Create a Workspace. Give it a clear role ("HR helpdesk", "Compliance questions"), standing instructions on how to answer, and attach the knowledge.
  4. Set guardrails and access. Apply an AI Guardian policy and choose who can use it.
  5. Test as a draft, then publish. Try it safely, then publish and share it so the team asks the Workspace instead of asking you.

Why this beats a shared FAQ document

A static FAQ goes stale and no one reads it. A Workspace answers in plain language, cites the source document, and stays current because it reads from the live folders you connected. When the underlying policy changes, the answer changes with it.
